Below you will find Easy Clocking’s time and attendance software release notes for our 2.6 release. General

Compensatory Time (K-Time)

With this release, a compensatory time bank is available for employee accrual. Compensatory time off is time off in lieu of overtime pay for regularly scheduled or irregular or occasional overtime worked. K- time can then be used for paid time off. Maximum K-time accrual hours limit can be set at employee level, after which the time will be counted as overtime. This rule is governed by FLSA 29 CFR.553.

Add Missing Punch from Time Card

This feature allows the authorized users of the system to add missing punches from the time card dashboard without having to go to the “Add Time Tab”.

PTO Date

The PTO requested date is now displayed on the absence request tab to help process the PTO request on a first-come-first-serve basis.

Added Employees to the Messaging System

Now, all employees, not just admins, can use the messaging system for internal communication.

Note Indicator Icon in Time Card

An icon is displayed to indicate that there is a note on the time card dashboard.

Absence Request Notification Icon

An icon is displayed to indicate that there is a pending absent request approval/denial on the employee portal.

Ability to Hide Absence Type

Prior to this release the following absence types – vacation, holiday, sick and personal, were mandatory and were not allowed to hide or disable. With this release, those can be set to “hide” and will not be displayed to choose from, thus avoiding confusion and/or erroneous entries.

Ability to Filter or Search Clocks

The feature allows to filter or search for time clocks in Devices/Time-Clocks tab without having to scroll through them.

Add Access Level When Adding User

The feature allows to add the user access levels at the add-user wizard, thereby making it easier in one step.

Breaks Alert

Instead of deducting the actual break, the feature shows an alert in the time card dashboard notifying the admin that the employee did not take the break as per rule.

New and Improved Approval Process

There are three levels of approval with this release. Any can be chosen that suits the need. 1. Manager submits for employee approval, employee approves and admin confirms. 2. Employee approves, and admin confirms. 3. Admin confirms.

Enforce Job Codes

Option in the clock-in permissions mobile to enforce a user to always pick a job code while clocking in using the mobile app.

Disable/Enable Time Clock from Mobile

Option to enable/disable a user from using the Time Clock function from the mobile app.


Reports

Breaks Alert

The report shows an alert in the time card report displaying the admin that the employee did not take the break as per rule.

Employee Time Card Reviewed Status

“Employee Reviewed” icon does not show if the employee does not have the ability to review. Employee cannot review if he/she does not have employee portal or if he/she does not need to review.

Active Jobs Report

Active Jobs report displays all active jobs grouped by project or just by jobs

Time Card Approval Status Report

Report that lists the employee names, pay period and time card approval status.

Show Disclaimer (Footer Notes)

Changed “Show Notes” to “Show Disclaimer”. Available where relevant. Enable when “One Page per User” and “Show Signature” are selected. Disabled otherwise.

Compensatory Time Display

Compensatory time, which is a new feature added in this release, is available in all relevant reports.


 

Export

Export of Custom Absences

Feature allows custom absence types to be exported.

Export Shift Names 

Ability to export shift name.

Automatic Hours to Show Absence

Employees who have automatic hours, schedules, and are required to clock-in and out, will be indicated as absent when they are absent even though they get hours allocated every day according to the weekly hours.

General

User Status Filter

Made the User Status filter permanent across sessions per user. This will help to filter out inactive users from the Users Tab and save the filter.

Left Early Icon

Similar to Tardy and Extended-Lunch, with this release there is an icon on the time-card and employee portal to indicate scheduled employees who left early.

Overtime by Bi-weekly

This release provides the ability to also calculate overtime on a bi-weekly basis.

Part Time Employee Type

Added a new employee type called “Part Time”

Who’s In Dashboard to display Clock Name

Who’s In dashboard will now show the clock name where the employee first punched-in.

Employee Portal Display in Decimal 

In Employee Portal you can now view the time in decimals.

Notes When Modify Time

Added the ability to enter notes when time is modified manually in the time card.

Hide Unused Shifts

Unused shifts can be marked to “hide” in the “Shifts” tab so that it is not available for assignment.

Add Projects to User Filter

Added the ability to filter by Projects.

Adding Multiple Schedules for Multiple Days

This feature helps to add multiple schedules, if not overlapping, in one day.

Delete the Selected Schedule

Added the ability to delete a schedule from a range of days based on the selected shift.

Display Location of Schedule

Location can now be displayed in schedule/s. This will be displayed in the UI where schedules are shown. A setting controls it.

Job Tracking Level in Pay Setting

Job Tracking level can be set at Job or Project level. By default it is set to Job Level. If changed to Project, in the time card and filter projects can be used.

Inactivate Project

Added setting to inactivate a project.

Bulk Job Code Assignment

With this release you can assign active job codes to a user in bulk.

Bulk Delete Job Code Assigned

With this release you can bulk delete jobs assigned to users, and also bulk delete users assigned to a job.

Inactivate Job Code

Job Codes can now be inactivated. Inactive job codes will not be available for user assignment. The inactive job codes will also be removed from the clock keeping all the job codes available on the clock active and current.

Projects and Jobs in Time Card

Projects and Jobs, if relevant, are now displayed in Time Card.

Add Projects in Add Time

Now Projects can be added in Add Time feature.

IP Address Based Restriction

When using PC Clock functionality, the PC allowed to be used can now be restricted based on the IP.


 

Reports

Left Early Report

Time Card Report to show when/if employees left early.

Location of Schedule

Location of the schedule is now displayed on the Schedules Report.

Added Projects to Jobs Reports

Projects are now displayed on the Jobs Reports if relevant.

Time Card Summary Report

Added position summary, and location summary reports.

Bug Schedule Reports

Schedule Report had a bug where the correct days/dates were not displayed for the selected user and period. The bug is now fixed to display accurate schedule information for the user.

Bug Weekly Report

Personal hours were not showing in the weekly report. The bug is fixed with this release.

Bug Absent Report

These reports were not sorting by name. This release fixed it.

Bug Report User Information

Address line 2 was not displaying. It is fixed with the release.


 

EXPORT

Export of Custom Absences

With this release, custom absences can be exported with respective names and hours.

Known Issues Fixed

Who’s In Dashboard Error

A bug was introduced in the previous release (Release 2.1), which gave an error in Who’s In dashboard when using the export option. This release fixes it.


 

General

Edit Time Card in Employee Portal 

With this new setting, an employee can edit his/her own time card to add, edit, delete punches, and approve out of shift . This is a setting per employee in conjunction with the permission to use the employee portal.

Cross Date Shift Auto Cut-off at End of Pay Period

With this release, if the client chooses (by a setting) to cut-off cross date shift employees at the end of pay period, the system will automatically enter a punch-out and a punch-in at the end of pay period, thereby allocating the worked hours to the corresponding pay periods.

Weekly Overtime Calculation for Cross Date Shift Employees

With this release, with a setting (Pay Class-> Over Time -> Cut shift at the end of the week), weekly overtime can be calculated for cross date shift employees by cutting off the shift at the end of the week. Before this release, the whole shift was used for weekly overtime calculation. Now both options are available.

Deduct and Pay Lunch Minimum Hours Setting

With this release, the minimum hours setting has no lower limit. Before the release the lowest limit possible was 15 minutes.


 

Reports

Time Card Report Employee Approved Icon

The report now also shows an icon for employee approval. Earlier the report only had a manager approval icon.

GENERAL

Bulk User Assignment to Time Clock

Before this release the employee information needed to be uploaded one at a time. With this release, employees can be uploaded in groups up to 100 at a time. The users to be uploaded to the time clock can now be chosen by various filter criteria. These users then can be uploaded to the selected time clock.

Employee Portal Messaging

The messaging application is now extended to employee portal as well. Earlier the application was limited to admin users. The messaging system is available for users of the time and attendance system for internal communication.

Employee Portal Job Transfer

Now an employee changing from one job to another job during the same shift can initiate it from the employee portal. This will help to automatically punch out from the earlier job and punch in to the new job when clocked out after the earlier job. Before this feature, one has to punch out from the earlier job and punch in to the new job at times losing time in between. The new feature just requires the employee to punch in to the new job and it will automatically punch him/her out from the previous job.

Release Notification and Notes

With this release, users of the system will see alerts of the upcoming release with details of the release and detailed notes available online.


REPORTS

Clock Admin Report

Report to show users with admin privileges on the clock

Out-of-shift Report

Report to show worked hours outside the schedule assigned.

Real Punch-in time Vs Rounded and Modified time

Report to show real punch-in time versus rounded and/or modified punches. This helps to determine tardy and see modification if any to the original time.

PTO Approval Report

Report to show who and when the PTO was approved.

Custom Absence Type Report

Report to show data on additional absence types created by the client.

Add Time Notes Report

Report to show the notes entered at the time of adding time manually.

Time card Department Totals Report

Report to show time card totals by department.

Display Report Header on All Pages

Reports will now show the header info/field name on all pages, not just on the first one.

Save Report Settings

The report settings made by each user will now be saved for later use.


Export

Custom Absence Type
Additional absence types created by the client are now available to be exported to the respective payroll systems.
